How do I login to Microsoft 365?
Go to o365.umu.se and login with Umu-id@ad.umu.se and password.
What is Microsoft 365?
Microsoft 365 includes a variety of applications and is a cloud service. This means that the applications can be accessed from any device, and wherever you are. The applications are tied to your account, not to your device. This means that you have access to the classic office package, word, excel, powerpoint, your files and many more apps for, for example, collaboration from any available device with your Microsoft 365 account.Functions in Microsoft 365
Can I log in to Microsoft 365 via my telephone and tablet?
Yes, you can log in to Microsoft 365 via your web browser in your mobile phone or tablet. You can also download that apps via Google Play Store or AppStore directly to your phone or tablet.
Where do I save my documents?
In OneDrive, you can upload and save your files and folders. How much storage you have depends on your license.
Where do I store shared documents?
There are two options, either you save the files in Teams or in a shared library in Sharepoint. Both Teams and Sharepoint are applications in Microsoft 365.
Is there anything I cannot save in Microsoft 365?
You may not store sensitive personal data or information covered by confidentiality. This is, for example, information about health conditions, protected addresses, tenders/procurement, information about people’s ethnic origin, political opinions and sexual orientation.
Can I save research data in Microsoft 365?
No, you may not save sensitive or confidential information. If your research material require high security it should not be stored in Microsoft 365.
Umeå University offers a service for storing files that require high security.
If in doubt, start by doing an information classification on your material before deciding where to store it.

Can I use Teams with people outside the University?
You can invite guests to teams at Umeå University. Anyone who has an email account (example, Outlook, Gmail or similar, can be invited as a guest in Teams.
Can I access my Teams files via a computer instead of via a browser?
Yes, you can choose to synchronize your teams files to your OneDrive and make your OneDrive accessible in your file manager. This way you can access and work with your teams files on your computer, whether or not you have access to the internet. When your computer has an internet connection, files will automatically synchronize to the cloud.
Should I choose Teams or Sharepoint?
It depends on what you want to use them for. If your focus is discussion, communication and collaboration with documents, then Teams is a better alternative.
If you want a more complex solution with different permissions on your documents and files, different types of lists and workflows, then Sharepoint is a better alternative for you.
Is Teams a learning platform?
No. Teams, Sharepoint and other parts of Microsoft 365 are not intended to be used as learning platforms. More information about our learning platforms:
Why am I signed out of the Microsoft 365 apps on the web?
If you are inactive for more than four hours, you are automatically signed out of the apps in Microsoft 365 on the web. This applies to all Microsoft 365 apps including Outlook on the web. You are inactive when you have no interaction with the web app, such as mouse clicks or keyboard strokes.
This is a security-enhancing measure that reduces the risk of unauthorized access to your information.
Why are third-party applications not allowed in Microsoft 365?
We have temporarily disabled the ability to integrate third-party applications into Microsoft 365 as information security cannot be guaranteed.
As an authority, each application needs to be investigated and approved from a security, technical, contractual and legal perspective. This means that there must be an agreement and that personal data processor agreements, risk and vulnerability analysis, information classification and impact assessment must be completed for the applications to be used.
We must also ensure that the applications we use have functionality for additional security measures to be implemented.

Why am I signed out of the Microsoft 365 apps on the web?
If you are inactive for more than four hours, you are automatically signed out of the apps in Microsoft 365 on the web. This applies to all Microsoft 365 apps including Outlook on the web. You are inactive when you have no interaction with the web app, such as mouse clicks or keyboard strokes. Exceptions to this can be experienced in the Edge browser.
This is a security-enhancing measure that reduces the risk of unauthorized access to your information.
